工作內容
About the Role:
We are seeking a highly skilled Assistant Facilities Manager to oversee the smooth operations of our assigned property/facility. As the on-site key POC, you will be responsible for managing day-to-day client activities and fostering strong relationships with key stakeholders and clients. Your leadership abilities will be crucial as you lead a team and assume overall responsibility for various aspects including budgeting, accounting, maintenance, operations, contract services, procurement, occupancy services, and helpdesk support.
Role’s Responsibilities:
[People Management]:
1. Cultivate and foster a team culture that aligns with our core behaviors and values (‘I am JLL!’); embodying expertise, proactivity, innovation, versatility, teamwork, and a customer-centric approach.
2. Effectively manage and coach the team, nurturing a high-performing and motivated group of individuals, while promoting trust, work ethics, and positive staff morale.
3. Create and sustain an environment that promotes teamwork, cooperation, and a commitment to excellence.
[Client/Stakeholder Management]:
1. Serve as the primary on-site POC for facilities; take proactive measures to actively engage stakeholders and ensure that the expectations of on-site clients are consistently met and exceeded.
2. Foster the establishment and growth of strong and effective client/stakeholder relationships.
[Procurement & Vendor Management]:
1. Implement effective vendor management strategies to ensure seamless coordination and timely delivery of services, while closely monitoring adherence to budgetary constraints.
2. Oversee vendor procurement processes, ensuring strict compliance with both the client’s procurement guidelines and JLL’s best practices.
[Contracts Management]:
1. Conduct ongoing assessments of contracts to optimize their value delivery to the client; strategically plan and meticulously oversee all contracts, guaranteeing their compliance and professional execution within the allocated budget.
2. Monitor contract expiration dates, promptly initiating re-procurement processes if necessary.
[Finance Management]:
1. Proactively drive the site’s financial operations to achieve or surpass targets while maintaining strict compliance & adherence to JLL’s Code of Ethics.
2. Enforce meticulous adherence to financial processes, establishing a culture of accountability and accuracy to ensure compliance and financial integrity.
[Health & Safety Management]:
1. Safeguard the provision of a secure and healthy working environment, prioritizing the well-being and safety of all personnel.
2. Ensure meticulous adherence to statutory regulations about fire safety, health, and safety standards.
[Site Operations Management]:
1. Proactively identify opportunities for continuous quality improvement and implement industry-leading operational practices.
2. Develop and enforce comprehensive building procedures and performance measures.
3. Prioritize the fulfillment of all Critical Environment requirements, guaranteeing the highest level of compliance and reliability.
4. Regularly review existing operations to identify areas for cost reduction and elevate operational standards; provide 24/7 emergency call support and on-site attendance as required.
[Risk Management]:
1. Establish and uphold robust audit procedures to ensure compliance and maintain accurate records, promoting a transparent property risk management program.
2. Implement and maintain comprehensive disaster recovery and business continuity plans.
3. Ensure the implementation and availability of efficient escalation procedures and incident reporting protocols, facilitating prompt resolution and communication of any issues.
4. Collaborate in the development of guidelines and strategies to uphold JLL’s business conduct standards, promoting ethical practices and compliance across all operations.
5. Drive the achievement of Key Performance Indicators and Service Level Agreement targets.

Role’s Requirements:
1. A university degree or professional qualification in office operation, finance, real estate, or facility management is preferred. Additionally, a minimum of 5 years of practical experience in property or facility management is required.
2. Experience working in a high-tech business environment and a solid understanding of basic technical aspects of the property such as Computer Room Air-conditioning, Chiller systems, Fire Protection systems, Mechanical and electrical systems, and BMS systems are highly valuable.
3. Possess comprehensive knowledge of critical facilities and be well-versed in local health and occupational safety requirements. Additionally, experience in vendor management for specialized services and a proven capacity to understand and interpret commercial contracts.
4. Strong leadership, people, and communication skills are essential for the ideal candidate. You should not only exhibit the ability to think laterally and offer innovative solutions but also be responsive and creative in your approach. Moreover, you should possess strong budget management and financial analysis skills to ensure effective decision-making.
5. Proficiency in both spoken and written English and Mandarin is required to foster effective communication and collaboration with stakeholders in diverse language settings.
