Job Description
Main purpose of the role

  • To support the existing Japan Turner & Townsend office in administrative exercises requiring both English and Japanese support.

Scope
The individual will provide support on specific regular tasks as identified and provided to by one of the Directors of the business. They may also be required to provide ad-hoc support to other members of the team.
Key accountabilities
Supporting existing Turner & Townsend Japan team in the following deliverables, to include:

  • Provide Liaison with the Executive Office Centre administration
  • Support the T&T Japan office in there administration needs
  • Ensure T&T Japan office stationary supplies are maintained
  • Support Senior Management in travel and entertainment requests
  • Support in the development of project specific templates
  • Manage and organise all mail and correspondence in a timely manner
  • Support the team in marketing collateral and material
  • Providing support to the Management Team in the population of proposals and submissions
  • Attendance and support with client meetings if required
  • Co-ordination and organising of Team Events
  • Support the North East Asia finance team with administrative duties on Japan finance related matters, such as money transfers / bill payments using via the T&T online bank account
  • Support the regional North East Asia HR team with administrative duties on Japan HR related matters, editing and producing employment contracts, corporate, social responsibility tasks/events (CSR) etc.
  • General Office administration duties

REPORTING
Team administrative support team member should provide support through tasks identified by Directors of the business only. All other team members should make their requests through one of the Directors and cascade down.
KEY PERFORMANCE INDICATORS
A Team Administrative Support will in part be assessed by the extent to which:

  • Supporting the team to ensure they have all their administrative requirements to ensure the right quality standards are met and are completed efficiently and on time
  • Support the team to enable them to build strong relationships with their clients and teams
  • Experience in handling basic HR and finance administrative tasks

EDUCATION/QUALIFICATIONS

  • No necessary qualifications required

KEY EXPERIENCE AND KNOWLEDGE
Essential

  • Microsoft office
  • Bi-lingual – very good command / proficient in spoken and written Japanese and English
